Job description

Lead the continuous delivery of estates Facilities Management, whilst ensuring all Health and Safety and other compliance requirements are met across the portfolio and all its assets.

You will be responsible for overseeing all hard/soft services as well as all compliance related matters also taking part in the development and implementation of the client’s strategies.

Requirements

Qualifications

  • IOSH or NEBOSH
  • Qualified Member of the British Institute of Facilities Management

Experience

  • History in previous roles with relevant experience
  • Preparing detailed client reports
  • Experience in change management and problem solving
  • Understanding of Health and Safety best practice
  • Excellent in managing compliances and being able to evidence compliance
  • Proven experience dealing with tenants on day-to-day basis
  • Third party contractor management

Key Responsibilities

  • Managing the delivery of FM services and the third party suppliers engaged to act.
  • Ensuring statutory compliance for the account.
  • Manage the compliance systems, ensuring that actions are being uploaded, actioned, and resolved.
  • Manage the life safety assets on each of the sites to ensure they are adequately maintained and that robust records are kept evidencing same.
  • Collaborating with the leasehold team to support the delivery of relevant fire safety legislation introduced, alongside any other legislation, industry standards or best practice.
  • To oversee contract management and ensure value is being delivered through the supply chain through the setting and reviewing of SLAs and KPIs.
  • Inspecting a building and its operations to determine vital services, repairs, and maintenance
  • To manage and maintain the supply chain records by ensuring suppliers hold relevant accreditations and adequate insurances prior to their engagement.
  • Ensure that all services and systems are managed in a proactive and compliant manner.
  • To review, develop, deliver, and monitor an FM and supplier management strategy.
  • Develop and maintain good relationships with clients with stakeholders and support the management team in achieving the clients objectives
  • Support and contribute to any necessary customer engagement strategies.
  • Developing building plans outlining strategies for improving efficiency, reducing costs, and forecasting the facility’s future needs
  • Ensure that all accidents, near misses and other risks identified are recorded and reported (where necessary) and that any actions identified are advanced to their resolution.
  • Review and approve RAMS before works commence
  • Communicate and liaise with all relevant stakeholders and where able to solicit feedback on team performance.
  • Planning of PPM
  • Quality and performance management of all services including monthly performance reporting and maintenance of the site document and the client CAFAM system.
  • Assisting to create, manage and control budgets, achieve financial targets and follow financial processes, producing timely and accurate reports.
  • Proactively seeking out and monitoring customer feedback. Analysing and ensuring results are communicated to team, with improvement plans being made and action being taken where necessary.
  • Ensuring compliance with all safety and security protocols
  • Using CAFM tools e.g. Elogbooks, Meridian, P2P and other platform
  • To support the operational team with budgeting and financial forecasting through your knowledge of the sector and understanding of the tasks due
  • To carry out any other such duty as reasonably directed.
